For many manufacturing companies, receiving Requests for Quotations (RFQs) is a positive

sign of market interest. However, a common challenge remains—why do so many RFQs fail

to convert into actual business? The answer often lies in hidden bottlenecks that exist within

the RFQ-to-order process.


One of the primary reasons is delayed response time. In a competitive marketplace,

customers expect quick and accurate quotations. A slow response can push potential buyers

toward suppliers who demonstrate greater agility and commitment.


Another critical bottleneck is an incomplete understanding of customer requirements. Many

quotations focus solely on pricing while overlooking technical expectations, quality

standards, delivery schedules, and value-added services. This gap often creates

misalignment between customer needs and supplier offerings.


Lack of structured follow-up is another major issue. Submitting a quotation should not mark

the end of the sales process. Many manufacturers fail to engage with prospects after

sending an RFQ response, missing opportunities to address concerns, negotiate terms, or

build relationships.


Internal coordination challenges can also impact conversion rates. Delays in gathering inputs

from engineering, procurement, production, or costing teams often result in inaccurate

pricing or missed deadlines. Such inefficiencies can weaken customer confidence.


Additionally, companies sometimes focus heavily on price competition while neglecting

factors such as reliability, technical expertise, quality assurance, and long-term partnership

potential—elements that customers increasingly value.


Converting RFQs into business requires more than competitive pricing. It demands a

streamlined process, effective communication, timely follow-ups, and a deep understanding

of customer expectations. By identifying and addressing these hidden bottlenecks,

manufacturing companies can significantly improve their RFQ conversion rates and unlock
